1. Who is responsible for your data
The data controller is:
Essential Glow Design — sole proprietorship (entrepreneur individuel)
190 bis avenue Anatole France, 59410 Anzin, France
SIREN 977 561 950
Email: essentialglowdesign@gmail.com
Phone: +33 7 81 62 20 97
Essential Glow Design sells crochet patterns in PDF format, sent by email, and physical items delivered to an address in France. A shipping address is only requested for orders containing a physical item: an order for patterns only does not require any shipping data.
2. What data is collected
When you place an order: first and last name, email address, billing address, country, and the order information (products, amount, date, order number).
When you place an order containing a physical item: in addition, your shipping address and, if you provide it, your phone number, as well as the shipping information for your parcel.
The information marked as required at checkout is necessary to process your order: without it, the order cannot be placed or delivered. The phone number is optional.
Payment: your card details are not sent to us and are not stored by us. They are processed directly by the payment provider used at checkout.
If you agree to receive our emails: when you tick the box provided for this at checkout (it is never ticked in advance), we use your email address to send you our news and offers.
When you make a withdrawal, return or refund request: name, email address, order number, items concerned and, where applicable, the reason you freely provide.
When you report a damaged parcel or a non-conforming item: your description of the problem and the photos you send us.
If you post a review: the information requested by the review form, your rating and the text of your review.
When you browse the site: IP address, type of device and browser, pages viewed and interactions, through cookies and similar technologies (see sections 4 and 8).
When you write to us: your email address and the content of your message.
3. Why this data is used
Performance of the contract: recording the order, sending you the download link for your PDF patterns, preparing and shipping your items, passing on to the carrier the information needed for delivery, answering your questions, and handling withdrawal requests, returns, complaints and refunds.
Legal obligations: keeping proof of sale and accounting records.
Legitimate interest: site security, fraud prevention, proper functioning of the store, display of reviews, and the cookieless audience measurement described in section 4 (Microsoft Clarity), in order to improve the site.
Consent: audience measurement and advertising cookies, when you accept them where your consent is required (for example in the European Union); sending our news and offers by email, if you have ticked the box provided. You can withdraw your consent at any time (see sections 7 and 8).
4. Who has access to your data
Your data is neither sold nor rented. It is accessible to the service providers that allow us to run the store, only to the extent they need it:
Shopify — site hosting, order management and checkout.
The digital file delivery app — sending the download link for your patterns.
The carrier delivering your parcel — name, shipping address and, if you provided it, phone number, only for orders containing a physical item and for delivery purposes.
The withdrawal request management app — recording and tracking your request.
The post-purchase offer app — when an additional offer is shown to you right after your order, displaying this offer and adding the item to your order if you accept it.
The customer review management app — displaying reviews on the site and, if you post a review, recording it.
Payment providers — processing and securing payment.
Google — audience measurement and advertising, when the corresponding cookies are active.
Meta and Pinterest — advertising and measuring the effectiveness of our ads, only if you accept marketing cookies where your consent is required (for example in the European Union). In the United States, these cookies are active by default and you can turn them off at any time using the “Cookies” link at the bottom of every page.
Microsoft (Clarity) — audience measurement and analysis of how the site is used (pages viewed, clicks, scrolling). Where your consent is required, its cookies are only set with your consent; without consent, measurement is done without cookies and cannot recognize you from one visit to the next.
Your data may also be disclosed if the law requires us to do so.
5. Transfers outside the European Union
Some of these service providers are established outside the European Union, in particular in Canada and the United States. These transfers are governed by the mechanisms provided for by the GDPR: an adequacy decision of the European Commission or standard contractual clauses.
6. How long your data is kept
Orders and proof of sale (including any shipping address and phone number): for as long as needed for the customer relationship, then archived to meet legal accounting obligations (10 years).
Withdrawal requests: kept for 90 days in the app used to handle them; a record of the request and of the decision is kept with the corresponding order, so that we can show how it was handled.
Email subscription: until you unsubscribe, and at most 3 years after your last contact with us.
Reviews you post: for as long as they are published on the site; you can ask for them to be deleted at any time.
Messages and photos you send us: for as long as needed to handle your request.
Cookies and browsing data: 13 months at most.
7. Your rights
You have the right to access, rectify and erase your data, to restrict and object to its processing, the right to data portability, and the right to set instructions for what happens to your data after your death.
You can unsubscribe from our emails at any time, using the unsubscribe link in each email or by writing to us.
To exercise these rights, write to us at essentialglowdesign@gmail.com. We may ask you for information to verify your identity, so as not to disclose your data to a third party.
If you believe your rights are not being respected, you can lodge a complaint with the CNIL (the French data protection authority): 3 place de Fontenoy, TSA 80715, 75334 Paris Cedex 07, France, or at www.cnil.fr.
8. Cookies
The site uses cookies that are strictly necessary for it to work (cart, checkout, security), which cannot be disabled.
It may also use audience measurement and advertising cookies, including those of Google, Meta, Pinterest and Microsoft (Clarity). A cookie management banner is shown to the visitors concerned in order to collect their choice.
You can change or withdraw your choice at any time using the "Cookies" link at the bottom of every page of the site.
You can also block or delete cookies in your browser settings. Blocking necessary cookies may prevent the ordering process from working properly.
9. Security
The site is hosted on Shopify and exchanges are encrypted (HTTPS). We limit access to order data to the people who need it.
10. Changes and contact
This policy may be updated; the date of the last update appears at the top of the page.
